Administrative Assistant

Job Responsibilities:

Performs administrative duties for executive management.  Responsibilities may include screening calls, making meeting arrangements, preparing reports and financial data, working with support staff, customer relations, and maintenance of organizational policies and procedures (hospital-wide, clinical, etc.).  Files documents as directed.  Requires strong computer and internet research skills.  Also calls for flexibility, excellent interpersonal skills, project coordination, and ability to work well with all levels of management and staff as well as outside clients and vendors.  Maintains files in compliance with regulatory standards.    Requires sensitivity to confidential matters.

Essential Duties and Responsibilities include the following. Other administrative duties may be assigned.

  • Routes incoming mail and faxes
  • Updates policies and forms as needed
  • Composes and types routine correspondence
  • Greets scheduled visitors and conducts to appropriate area or person
  • Receives, documents and routes patient complaints
  • Performs patient advocate duties in the promotion of good will among patient and hospital staff
  • Coordinate therapy appointments, manage cancellations or reschedules, and maintain an organized calendar for providers.
  • Greet patients and visitors, answer and direct phone calls, and provide information about rehabilitation services.
  • Prepare, update, and maintain patient files, ensuring confidentiality and compliance with HIPAA standards.
  • Assist with verifying insurance, processing claims, and managing billing inquiries.
  • Serve as a liaison between patients, therapists, and other medical staff to ensure effective communication.
  • Maintain a clean and functional work environment, including ordering office and therapy supplies as needed.
  • Accurately input patient information, treatment plans, and progress reports into electronic health record systems.
  • Prepare reports, correspondence, and other departmental documents as required.
  • Provide administrative assistance to therapists, including scheduling meetings, preparing materials, and other support tasks.
  • Ensure all activities follow ACRMC’s policies, procedures, and regulatory guidelines.
